1. What Wultor is
Wultor helps fitness trainers run their business over WhatsApp and the web: tracking attendance, payments, class schedules, and bookings, and giving students a portal to see their own classes and payments. This policy explains what information we collect to make that work, and how we handle it.
2. Information we collect
We collect only what is needed to run the service:
- Account information. When you sign in with Google, we receive your name, email address, and profile picture from your Google account. We use these to identify you and link you to your trainer or student account.
- WhatsApp messages and phone number. When you interact with the Wultor WhatsApp assistant, we process your phone number and the messages you send so the assistant can respond and record attendance, payments, and bookings on your behalf.
- Training records. Attendance, payment, class schedule, membership plan, and booking records that you or your trainer enter into Wultor.
- Usage information. Basic technical logs (such as request timestamps and errors) that help us keep the service reliable and secure.
3. How your information is stored
Each trainer's studio data — students, attendance, payments, plans, and schedules — is stored in a Google Sheet connected to that trainer's Google account. Trainers own and control this sheet. Wultor reads from and writes to it only to provide the features described above.
If you are a student, your training records live in your trainer's sheet. Questions about correcting or deleting those records can be directed to your trainer or to us using the contact below.
4. How we use your information
- To sign you in and show you your own dashboard or student portal.
- To record and display attendance, payments, schedules, and bookings.
- To send you service messages on WhatsApp — such as booking confirmations, class cancellations, payment reminders, and replies from the assistant.
- To answer product questions you ask the assistant.
- To keep the service secure and troubleshoot problems.
We do not sell your personal information, and we do not use it for third-party advertising.
5. Third-party services we rely on
Wultor is built on a small number of service providers:
- Google— for sign-in and for the Google Sheets that store each trainer's studio data, under the Google Privacy Policy.
- WhatsApp (Meta) — for messaging between you and the Wultor assistant, under the WhatsApp Privacy Policy.
- OpenAI — to understand messages sent to the assistant and generate replies. Message content is shared with OpenAI only for this purpose.
Wultor's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
6. Sharing within the service
Wultor shares information only as needed to run the service: trainers see the records of their own students, and students see only their own attendance, payments, and schedule. If a trainer publishes a public schedule or shares a booking link, only the information on that page becomes visible to people with the link.
7. Data retention and deletion
Training records remain in the trainer's Google Sheet for as long as the trainer keeps them. You can ask us to delete your account and the data we hold about you at any time by contacting us below. Trainers can additionally revoke Wultor's access to their Google account from their Google account permissions page.
8. Security
We use industry-standard measures to protect your information, including encrypted connections (HTTPS) and scoped access tokens. No online service can guarantee absolute security, but we limit what we collect and who can see it.
9. Changes to this policy
If we make material changes to this policy, we will update this page and revise the "last updated" date above. Continued use of Wultor after a change means you accept the updated policy.
10. Contact us
Questions about privacy, or requests to access or delete your data, can be sent to swatikaushal@wultor.ai.
